How To Make Disney World Room Requests + Free Printable!

Since Disney World resorts are huge and spread out, where your room is located at your resort really matters! You want the room with the best possible location and a view of something nice to look at that’s NOT the parking lot.

Luckily, Disney World hotels accept room requests from guests who want a specific room location or view. There isn’t a consensus out there on the best way to place room requests at Disney resorts, so I’ll share my strategy and my results.

First, the results: I have almost ALWAYS had my requests met on the many trips I’ve made to Disney. I’ve heard lots of folks complain that they didn’t get their room requests met, so clearly I’m doing something right!

Three Ways To Make Disney World Room Requests

There are basically three ways to add room requests to your reservation:

  • During the online check-in process
  • By calling Disney and asking for the requests to be added to your reservation
  • By faxing a room request directly to your resort’s room assigner (with a free online fax service because you likely don’t have a fax machine!)

Which strategy I use depends on the requests I want to make and what’s available in online check-in. 

And it’s also important to note that requests can not be guaranteed by Disney. They will be sure to let you know that requests are not guaranteed any time you make one!

Common Room Requests

Here are some common requests I make:

  • Ground floor (especially when I have a stroller in tow)
  • Close to transportation
  • Close to pool
  • A specific view (such as a fireworks view or water view)
  • Connecting or adjoining rooms

Now if you want a specific view that is available as a room category, the only way to guarantee that you’ll get it is to book that specific room category. I cover the difference between booking categories and room requests in this post about how to get the best rooms at Disney World!

Next, I’ll explain my strategies for making room requests that actually work.

Add A Request During Online Check-in

When I complete the online check-in process (which is the same whether you booked your room with DVC points, directly with Disney, or with a travel agent), I always add my top priority room requests if they are available.

Each resort has its own options for requests during online check-in. Common options are specific buildings, specific views, ground floor, and an upper floor. If the requests I want to make are available, then I check them off and I’m done!

If they aren’t available, then I either call or fax Disney to add the requests to my reservation. 

Faxing Your Room Request

Many Disney World resorts accept room requests via fax. I have found this to be an especially effective way of getting my room requests met!

As an example, for our last stay in a Standard View Studio at Animal Kingdom Lodge, my top priorities were to be close to the lobby and have a partial view of a savanna.

Though rooms with full savanna views are a separate booking category, you can actually see animals from many standard view rooms at both Jambo House and Kidani Village. During online check-in, there was not an option to request a partial savanna view but “close to lobby” was an option, so I just chose that and made my other request in a fax. 

I personally have had great success with “faxing” my requests to the room assigner at my resort. I upload my fax in a word document to the website which then sends it off to my Disney resort (I find the fax number for my resort with a quick web search). I aim to fax my room request 5-7 days before my check-in date.

As you can see from my example above, I try to be as brief and cordial as possible. I also mention where I’m from and the fact that I am a repeat visitor because I figure it never hurts to make a personal connection. You can download my fax template in a Microsoft Word document here!

Important Note: Some resorts have stopped accepting room request faxes. The resorts that do NOT accept faxes are: 

  • Beach Club Villas
  • Boardwalk Inn/Villas
  • Old Key West
  • Saratoga Springs
  • Wilderness Lodge & Villas

This past November I actually received a phone call from the room assigner at Pop Century a few days after I faxed my request. She called to check if the room she assigned would work for us, and it was perfect. In my experience, you can trust that an actual person will see and address your room requests when you send them via fax.

If your resort doesn’t accept faxes or you’d rather call in your request, I’ll cover that next. 

Calling Disney To Add Your Request

A third way to add a room request to your reservation is to call Disney at 407-W-DISNEY. 

You will have to go through a series of questions before you talk to a person, which I find pretty annoying. When you finally speak with a cast member, be ready with your resort confirmation number. He or she will use this to pull up your reservation and add your requests. 

NOTE: I was recently unable to call and add a room request to a Disney resort reservation I made through Orbitz. I was trying to save time by calling but it ended up being a waste of time since they were unable to even add a room request to my reservation since it was booked with a third party. I had to fax my request anyway so I wish I had done that from the get go!

I try to be more general than specific in my requests. I don’t ask to be in a certain room or section of the resort – instead, I ask to be as close as possible to whatever is most important.

For our stay in a standard room at Caribbean Beach, I considered requesting one of the villages that are closest to the pool, but I instead decided to just request being as close to the pool as possible.

We ended up being placed in a preferred room, which is closest to the pool and normally costs an extra $40 per night. I was glad I made my request as general as possible because I think it contributed to our magical upgrade!

I’ve been lucky to always get my rooms requests met, including getting connecting rooms, special views, and proximity to amenities and transportation. I believe this is mostly due to the fact that I do some background research, limit my requests, and submit my requests in the most effective way possible.

    Hi! I have a standard room booked at Coronado Springs and was wondering where the best location is at. First time staying there. I was looking into the Casitas and was wondering how to request that without mentioning the name, of you don’t think that’s a good idea.

      HI Amanda! I’ve stayed in a standard room there a few times and the only request I made was to be as close as possible to the main building (El Centro). That has landed me in the Casitas each time. Also consider if you want to deal with the elevator or stairs. I also often request a ground floor room if I am using a stroller.

      So I have stayed in a few different rooms with wonderful partial savannah views. I unfortunately don’t know the room number of any. Your best best is to request a partial savannah view as your only request and cross your fingers. My sister has requested this several times and had it met about half of the time. I have been more lucky but it is definitely not a guaranteed thing! I also mention in my room request if I am celebrating something. Like this: “We are visiting to celebrate our son’s birthday and our only request is to have a room with a partial view of the animals if that is at all possible”. Good luck!

    Do you recommend completing online check-in with the room requests and also faxing requests closer to check-in date? I have a standard room at Pop Century and am considering requesting the 60s and highest floor, but would also like to be close to transportation, which isn’t an option when doing online check-in. Thanks!

      Hi Karen! You can select what you want during online check in then follow up with a fax that includes all of your requests. Put whatever is most important first in the fax.

    Suggestions for room requests with Beach Club Villas (renting DVC)??? A lot of suggestions being made sound like they are for regular, non DVC, rooms. We don’t have any preferences, just wanting something fun.

      Hi Christy! Some of the DVC rooms are the closest rooms to any theme park (Epcot in this case). You can almost see the entrance from the balcony! I have always wanted to stay in one of these rooms. They are quite far from the main pool and quick service dining but I think it’s worth it. It might also be possible to see the fireworks from some of the rooms but there is heavy tree cover if I remember correctly.

      Hi Kerry! You can ask for a view of the courtyard if you want. But I think it’s better to request to be as close as possible to the main building and on the first floor so you don’t have to hassle with the elevators (unless you’d rather be away from the foot traffic). We’ve made these requests in the past and had awesome rooms. Hope that helps!

    Hi Leah, great tips thanks! We are staying at caribbean beach and I’m a bit overwhelmed! Would it still be best to fax (I’m finding it hard to get my head around lol!) I think we’d like to be near to the skyliner station so would we just say this? There were no options for a preferred room when we booked (through UK site) don’t want to get stuck 2 miles from everything lol!

      Hi Catherine! Yes, if being close to the Skyliner station is most important I’d request that. Just be aware that you could be quite far from the main building. There is now the quick service dining (Spyglass Grill) across the lagoon from the Skyliner station, so you’d probably be closer to that for grabbing some food and coffee. Hope that helps!     Hi Leah! We have a Deluxe Room in the Garden Wing at the Contemporary. Apparently, there are only 3 of this room type on property. Should I request “1st Floor” or the specific room number? I really want this room type and would not want to potentially get “upgraded” to a different 1st floor room. This room type seems to be very unique. Thanks!

      Hi Kelly! That sounds fun. If there are only three rooms it is possible that the other two will be booked for times that overlap your trip so they might not have much leeway with a room request. If you know the room number you want you could request it under these circumstances which are quite unique, but be prepared you might not get it. Have fun!

    Hi, I just put in my room request for boardwalk villa in feb with touring plans. Do you have any preference over a village green view or clown pool view? Wondering your opinion on which is better. Also, since I have put in a request with touring plans, should I not check in online? And should I still send a fax myself a few days before arriving? Or just leave it in the hands of touring plans and hope for the best? Thanks

      Hi Laura! I personally prefer the village green view but that’s because I’m scared of the clown pool LOL. I think both are fine. If you are using Touring Plans then you won’t need to send your own fax in. I would still do online check-in but just don’t select anything for a room request. Have fun!

    I sent a fax in requesting a upper floor and a partial animal view at Kidani Village. I just read reviews about the long walks and with three kids might like to request close to the lobby as well. Do u think I should call in this request in rather than creating a whole new fax? I am nervous to do onine check in as it may negate my fax requests. What’s the best way to add close to lobby without ruining my chances at other requests?

      Hi Lauren! I think you are wise to add close to lobby to your request. I think you should call and explain your request and that you’ve already faxed in a request and want to amend it. I would make sure the cast members notes all three of your requests and put them in the order of importance. Hope that helps!
